University Support Staff, University Professional Staff, and Six-month or longer Temporary Positions
- Application Completion:

- Applicants are required to complete the appropriate on-line application form on PeopleAdmin.
- Applicants are required to self-disclose any previous criminal convictions.
- Applicants are required to provide a current, valid e-mail address. Contact HR/EO if assistance is needed in setting up a free e-mail account.
- Complete the certification statement to save and submit the application.
- University Review Includes:

- Review and investigation of any self-disclosed criminal activity.
- Any disclosed or self-disclosed criminal activity will not automatically disqualify a candidate from employment. However a subsequent review by Human Resources and Equal Opportunity will be conducted to determine if there is a substantial relationship between the position and the pending charge or conviction and whether the applicant should be give further consideration for employment.
- A criminal background check will be conducted for all candidates who have verbally accepted the position contingent upon the outcome of a background check.
- Criminal Background Check Process:

- After you have verbally accepted the contingent offer of employment, you will receive an e-mail notification letter from a third party vendor, HireRight, requesting on the University’s behalf to complete an electronic consent form.
- Failure to complete the e-consent form within a reasonable time period, gives the University the right to withdraw any contingent offer or termination of existing employment.
- E-consent will request confidential information that will be securely maintained on HireRight’s encrypted, secure site.
- If the social security number provided is not valid, the candidate will have three working days to contact HR/EO to challenge the findings and seven working days to resolve the matter with the Social Security Administration.
- Non-criminal records irrelevant to the criminal background check process will not be reviewed.
- If a criminal record is identified, you will receive an electronic notification letter and copy of the report from HireRight. Candidates have three working days to respond to HR/EO to present additional information or contest the results.
- University will review the identified criminal history to determine if there is a substantial relationship between the position and the offense. Candidates may be asked to come in for an interview.
- If a candidate does not satisfactorily complete the background check, they will receive an electronic notification letter from HireRight on behalf of the University of Kansas. At that time all contingent offers or existing employment will be revoked or terminated.
NOTE: International candidates for which KU is their first U.S. employer, will not be subject to the criminal background check process since such checks will be conducted by United States Citizen and Immigration Services as part of the visa process.

- Candidates accepting GTA/GRA appointments must provide full name, a current e-mail address, and signature of conditional notice on the appropriate form.
- Candidates should alert departments if they are an International Student and are not coming directly from his/her home country.

- If this is the candidate’s first GTA or GRA appointment or they have not been in a GTA/GRA position within the last year, they will be subject to a full criminal background check, unless the student is international and is coming directly from his/her home country.
- Appropriate GTA or GRA appointment forms will be routed to HR/EO to initiate the background check process.
